Job Description
About the Role
You will:
Provide a high quality, professional reception service for clients accessing Primary Care services
Liaise effectively with clients and visitors from varied cultural backgrounds while using empathy, tact and discretion while maintaining confidentiality and awareness of the need to respect others
Operates in accordance within the direction of Medical Reception Guidelines
Handle all phone enquiries and refer clients and visitors to the most appropriate person and/or service area in a swift and timely manner
Undertake associated administrative support work
Extensive contacts required with employees of Nunkuwarrin Yunti, visiting medical and professional experts and members of the public
Ensure Clients receive friendly, professional services which meet their individual needs, and are within the guidelines, policies and procedures of Nunkuwarrin Yunti
Deliver a quality, efficient reception service to clients and callers in professional and courteous manner ensuring clients are attended to in a timely manner
Use effective listening and decision-making skills while handling distressed or difficult clients
Demonstrate proficient use of multi-line switchboard, courteously responding to all callers, and taking action as required
Maintain reception area in a clean, tidy state, including wiping down counters, doors & windows as necessary. Ensuring the work area is tidy at the end of each day and any confidential material is securely store
Provide administrative support services to the Health Clinic by:
Maintaining and creating client health files as required and ensuring confidentiality of information is maintained
Responsible for scanning of medical documents for Health Services into Communicare
Liaise with drivers to ensure daily client pick up and returns are organised
Receiving patients and arranging consultation appointments
Maintaining the reception area and waiting in a clean, tidy state
Undertake other general administrative duties as required
Participate in training for professional development and self-car
Undertake regular performance development reviews
About You
You bring:
A minimum of a Certificate 2 in Business Administration (Medical) or a minimum 1-3 years of experience working in a similar role.
Excellent work ethic with impressive time management skills while working under minimum supervision and being able to prioritise workloads and meet deadlines.
Excellent communication skills which can be delivered in all forms, with the demonstrated capacity to handle difficult and/or distressed clients diplomatically.
Professional dress code and present a positive, courteous, welcoming and professional image with well-developed interpersonal and communication skills, including written and verbal.
Previous experience using a multi-line switchboard working on reception and dealing with members of the public.
Liaise effectively with clients and visitors from varied cultural backgrounds while using empathy, tact and discretion while maintaining confidentiality and awareness of the need to respect others.
Demonstrated capacity to handle difficult and/or distressed callers diplomatically.
Willingness to work as part of a team and contribute in a positive manner to the work of BSSU and Health Services units and the broader objectives of NY.
Experience in using MS Office Suite packages
Desired Skills and Experience
Desirable:
Experience working with Aboriginal and Torres Strait Islander organisation and communities.
Experience in using Communicare or similar Patient Information Recall System
Experience working within the clinical field and dealing with client files and confidential information.
Ability to support and train less experienced staff including trainees or work experience students as required.
